The situation nobody talks about

Every guide to studio hire assumes you know what you're shooting before you book the studio. They're wrong to assume that.

Commercial briefs are frequently incomplete at the point when the studio needs to be booked. Client approval is pending. The creative director hasn't confirmed the hero shot. The art director is still deciding whether it's a white background or a coloured one. The talent hasn't been confirmed and you don't know if you need a cyc wide enough for a full-length look or just headshot territory.

But studios in London — good ones, in useful locations, at useful sizes — book out fast. You can't always wait for the brief to stabilise before confirming the space.

So you book early and hope the brief lands before you're on set. Here's how to do that without painting yourself into a corner.

Why lead times are longer than they look

If you've never been caught out by this: you will be.

The studios people actually want in east London — good light, useful size, proper power, working cyc — run two to three weeks' advance booking in busy periods. That's April through July, October through mid-December. Book on two weeks' notice and you're looking at second-choice options or last-minute cancellation slots.

Meanwhile, the brief for a commercial shoot often doesn't lock until the week before. Creative approval, client stakeholder sign-off, budget authorisation — these processes don't run on a photographer's ideal schedule. The combination of long studio lead times and slow client sign-off is exactly the situation where you're confirming a studio booking without a confirmed brief.

The flex brief spec

When I don't have a final brief, I book a room that works across the range of likely scenarios. The spec I target:

Floor area: bigger than I think I'll need. If the brief feels like a small-space shoot, I book the next size up. Extra floor space never hurts — you can always use less of it, but you can't create more.
Ceiling height: 3.2m minimum, ideally 3.8–4m. This keeps car work and full-length fashion with overhead rigs as options. A 2.4m room eliminates a lot of possible briefs.
Background: white or neutral. White gives me the most flexibility — I can shoot on white, hang a different colour paper, or build a small set in front of it. A specific coloured wall only works if the brief uses that colour.
Blackout capability: ideally yes. Daylight is beautiful but limiting. A studio I can run in full blackout gives me complete control over the lighting regardless of what time of day the shoot runs or what the weather is doing.
Power: 32-amp at minimum. This covers most rig configurations without me having to worry about tripping the supply.
Daylight option: north-facing windows are a bonus, not a requirement. But if I can have them as an option, I'll take them.

A room that meets those specs can handle portrait work, product work, fashion, video, and most corporate briefs. It won't be perfect for everything — but it'll be fine for almost everything, which is what I need when the brief is still moving.

What to tell the studio owner

Be honest. "I'm working up the brief with a client and it's not finalised yet — I'm booking the space to hold the date while we confirm the creative." Studio owners hear this regularly. They have cancellation terms for a reason.

What you don't want to do: describe a specific brief in your enquiry and then show up for a completely different shoot. This can create problems if the studio has made setup decisions based on your described brief — prepping a cyc when you needed the flat floor, or arranging access for a large item that's no longer in the shoot.

Blank it where you can. "I need a large-capacity studio with 3.5m ceiling, good 32-amp power, full blackout, and north-facing daylight option" tells the studio what they need to know without committing you to a specific setup.

The deposit maths when the brief is uncertain

Most UK studios take a 25–50% deposit at booking, with the balance due on or before the shoot day. Some charge 100% upfront for very short notice bookings.

The cancellation terms usually run in tiers: full refund with 4+ weeks' notice, partial refund with 2–4 weeks' notice, no refund with less than 2 weeks' notice. Sometimes less.

If the brief is uncertain enough that you think there's a real chance the shoot doesn't happen, you need to understand the cancellation maths before you confirm. A £500 deposit on a £1,000 day rate, with a no-refund clause inside two weeks, is a genuine risk if the brief might be cancelled or postponed.

The calculation I use: what's the probability this shoot happens as scheduled? If it's above 80%, I book. Below 60%, I wait or have a very specific conversation with the client about their commitment to the date before I spend money on a deposit.

The brief that changed the morning of the shoot

I booked a studio in Dalston for a brand campaign, three-day block, white background product and lifestyle mix. Good brief, well-understood. Deposit paid, call sheets out.

The client called two days before the first day. They'd decided to add a kitchen scene. Did I have a kitchen in the studio?

I didn't. I'd booked a plain production space because that's what the brief said. The client had evolved the concept during internal presentations without telling anyone on the production side.

I couldn't change the studio — not with two days' notice, not with a non-refundable deposit on a three-day block. We improvised a kitchen-adjacent setup with hired props and a styled counter area. It worked, mostly. It wasn't what the brief now wanted.

That situation taught me two things. First: always ask clients to confirm in writing if they change the brief after booking, because it changes the production spec and someone needs to own that decision. Second: when booking for a brief that might evolve, ask the studio what sets or props they have available that I haven't asked about — just in case.

The "safe" room vs the "right" room

There's a genuine trade-off between booking the safe room — the flexible, multi-purpose space that works for the range of likely briefs — and the right room for the brief you currently think you have.

The safe room costs more. It's bigger, it's more capable, and the market prices that capability accordingly. The right room for a specific brief might be cheaper, smaller, and more specialised — but if the brief changes, it becomes the wrong room.

My general rule: if the brief is still moving, pay the premium for the safe room. The extra £100–200 for a studio that handles everything is cheaper than the cost of rebooking a cancelled shoot or rerunning a day in an unsuitable space.

Timing your booking relative to brief confirmation

Not every project is the same. Here's roughly how I think about when to book:

Lock the studio early if: the project is happening regardless of final creative (annual report, scheduled relaunch, contracted brand commitment). The brief will be confirmed — it's just not confirmed yet. Book the safe spec and wait for the creative to catch up.

Wait if: the project is still subject to budget approval, talent availability, or a go/no-go decision by the client. Paying a deposit on a shoot that might not happen is burning money.

Book at moderate notice if: the shoot is confirmed but the creative is still evolving. Most brief evolution lands on background colour, prop detail and scene sequence — not on fundamental room spec. If you know it's a mid-size studio with a white background and good power, book that and let the details fill in.

Finding the right flexible space

The studios that work best for uncertain briefs tend to be the ones with the most honest spec listings — clear floor areas, confirmed power supply, stated ceiling heights. Those numbers don't lie and they tell you whether the room can flex with you.
