Most studio hire enquiries go something like this: 'Hi, I'm looking to book your studio for a shoot on the 15th. Please let me know rates and availability.'

That's not a brief. That's a request for a brochure. And the studio owner, who's fielding twelve of these a week, is going to send you the standard rate card and wait — because without knowing what you're doing, they can't tell you whether their space is right for your job.

I've been on both sides of this. I've sent the vague enquiry and wasted two days waiting for responses that didn't fit my brief. I've also talked to studio owners who've described exactly this problem — good clients asking about the wrong spaces because the initial enquiry didn't give enough information to redirect them.

A proper studio hire brief takes about 15 minutes to write. It gets you faster responses, more accurate quotes, and — more importantly — it helps you find out early if the studio is wrong for your job rather than on the day when it's expensive to fix.

Start with the job type

The first thing a studio owner needs to understand is what kind of work you're doing. Not because they're nosy — because different job types need fundamentally different things from a studio.

A talking-head interview for a corporate video needs: good acoustic properties, a blank or subtly textured background, and consistent controlled lighting. That might be a 200 sq ft room with decent soundproofing and a simple backdrop rail.

A full-day fashion editorial needs: high ceilings, wide floor space for multi-light setups, a makeup and hair station, possibly a changing area, and a separate client area where the brand team can review selects without being in the shooting space.

A car photography day needs: a cyclorama 10m or wider, 4.5m+ ceiling height, 100-amp 3-phase power, and a drive-in entrance wide enough for a large estate or SUV.

A studio owner reading 'I want to book for a shoot' cannot distinguish between these. Lead your brief with a sentence describing the job. 'Fashion e-commerce stills, 3 models, 200 garments, single-day shoot' tells them what they need to know immediately.

Specify the crew and people on set

Numbers matter for a studio's operational capacity. Your brief should state:

Number of crew (photographer, assistant, DIT, lighting technician)
Number of talent (models, actors, subjects — whoever is being photographed)
Client attendance (brand manager, creative director, stylist, art director — whoever is client-side)
Any suppliers arriving on set (van delivery of props, catering, equipment rental collection)

A studio that can comfortably handle 4 people in a shooting space becomes cramped and unsuitable when you arrive with 12. I've seen this go badly — a portrait studio that could just about handle the photographer and two subjects suddenly being expected to accommodate a full advertising agency team plus a catering van. Nobody had told the studio.

Total headcount, split by crew, talent, and client. One line. It makes a difference.

Equipment: what you're bringing, what you need

This is the section most photographers skip. And it's the section studio owners need most.

Your brief should specify:

Lighting: Are you bringing your own strobes? Running mono-heads on 13A sockets or do you need dedicated 16A/32A circuits? Running continuous LEDs? Bringing a generator? Most studios need to know the expected power draw to check whether their supply can handle it.

Cyclorama or backdrop: Do you need an existing cove or are you dressing a flat wall? What colour? Are you bringing your own seamless on a roll? If so, how wide and what rail system does the studio use?

Large kit: If you're bringing large modifiers, long booms, or a car, the studio needs to know about access — drive-in entrance dimensions, loading bay height, whether a cherry-picker or tall rig comes with you.

Tethering: Are you tethering to a laptop and do you need a specific desk setup? Some studio briefs get this granular because the tether cable run and monitor position affects where the assistant can work.

The space requirements section

This is where the brief gets technical and where you lose studio owners if you leave it vague. State:

Square footage: Approximate minimum floor area you need for the shooting space. Not the total building — the specific shooting footprint. A car cyclorama shoot needs 200 sq m of floor area. A portrait shoot needs 30 sq m. These are different categories of studio.

Ceiling height: Minimum usable height to the ceiling or rigging. 3m, 3.5m, 4m — state it. 'High ceilings' is not a spec.

Backdrop system: Do you need a motorised rail with multiple coloured drops, a simple pull-down white seamless, or just a bare wall? If you need specific colours state them.

Natural light: Do you need natural light? Direction? North-facing? Or do you need blackout? Or — importantly — are you indifferent, in which case say that? Indifferent to natural light opens up more studios than any other answer.

Facilities and adjacent spaces

What else do you need in the building beyond the shooting space?

A makeup and hair station with daylight-balanced mirror lighting — is this essential? Many photographers assume it'll be there and it isn't. Some studios charge extra for this area.

A client waiting area or viewing room where the brand team can sit and review selects on a monitor, separate from the shooting space? Not all studios have this.

A kitchen? Dishwasher? If you're catering on set (as you should be for any shoot longer than 4 hours), you need somewhere to set up the catering and a place to put things. I've shot in a Tottenham studio that had no kitchen at all and the catering ended up on the assistant's kit bag on a C-stand. Workable. Not ideal.

Changing rooms for models — how many rails, are there private rooms or open changing areas? For fashion work with multiple models, this matters operationally.

Load-in and load-out requirements

If you're bringing significant kit — a few cases of lighting equipment, large modifier stands, a car if it's a car shoot — the studio needs to know your load-in logistics.

Specify: how many vehicle loads? What's the heaviest single item? Is there a lift or are you carrying everything up stairs? If you're hiring a production truck or equipment van, does the studio have a loading bay or are you double-parking on the street and hand-trucking across a pavement?

The studios that handle commercial production regularly have thought about this. A dedicated loading bay with a roller door, level access to the studio floor, and a freight lift if the shooting space is above ground level. Studios that haven't thought about it will tell you this when you ask — and that's useful information before you commit to booking.

Pre-light and wrap time

Most briefs only mention the shoot day. But you often need time before and after the camera runs that isn't part of the main hire period.

Pre-light access: arriving the evening before to set up the lighting rig, dress the set, check the cyclorama condition. Many studios offer this at a reduced rate or include it in a full-day booking during off-peak periods. Some charge full hourly rate and it's non-negotiable. Know what you need and ask for it in the brief.

Wrap time: after the shoot, there's load-out, breakdown of backdrops, cleaning down the floor. Studios sometimes include 30 minutes post-shoot as part of the day. Commercial shoots often need longer. If you know you'll need 90 minutes of wrap time, put it in the brief so it's costed in the quote.

Budget range

Include a budget range. I know this feels like showing your hand before negotiations — it isn't. A studio owner who knows you're working to £400 for the day won't waste your time sending a quote for a £900/day space. One who knows you've got £800–1000 will pitch you correctly and might offer add-ons that are genuinely worth having.

You don't have to commit to a figure, but a range — 'we're working to a studio budget of £400–600 for the day including all kit' — makes the conversation useful from the first response.

The 10-line brief that actually works

Here's the brief format I've settled on after years of booking studios and getting it wrong:

Job type and description
Date(s) required
Start time and expected wrap
Headcount: crew, talent, clients
Power requirements
Space requirement: sq ft / ceiling height / floor
Natural light or blackout requirement
Facilities needed beyond the shooting space
Load-in, pre-light, wrap requirements
Budget range

Ten lines. Send that and you'll get useful, specific responses from studios. The ones that can't answer the technical questions in your brief are telling you something — they're not set up for your kind of work. Better to know that from a brief than to find out on the shoot day.
