I lost a £400 studio deposit once because a client cancelled three days before the shoot. The studio's cancellation policy was in the booking terms I'd signed. I had not read them carefully enough. That was my mistake, but the policy itself was also genuinely aggressive — and I should have caught it before I paid.

Studio deposit and cancellation terms are one of the few areas of studio hire where the power dynamic is clearly in the studio's favour, because they're holding your money. Understanding what's standard, what's acceptable, and what's sharp practice before you sign anything is the most straightforward way to protect yourself from an expensive lesson.

Here's how UK studio deposit and cancellation policies actually work in 2026.

What a normal deposit looks like

Most UK photography studios ask for a deposit to secure the booking. The standard range is 20% to 50% of the total booking value, paid at the time of booking. Some studios ask for 100% upfront for short bookings (a 2-hour portrait session, for example) — which is common and not unreasonable, since the administrative cost of holding a booking and chasing a balance payment isn't worth it for a small amount.

For a full-day commercial booking — let's say £600 total — a 25% or 33% deposit (£150–£200) is standard. If a studio asks for a 75% or 100% deposit on a large booking, that's worth questioning. It's not unheard of, and it's not inherently unfair, but it does mean your financial exposure if something goes wrong is significant. Ask why they operate that way. A studio that's had a run of late cancellations might have introduced high upfront deposits as a practical response.

Cancellation terms: the range you'll encounter

This is where it varies more. The policies I've signed over the past three years in UK studios range from genuinely fair to extractive. Here's the spectrum:

Fair: tiered refund by notice period

The most common reasonable policy works in tiers. Cancel more than 14 days out: full refund or full credit. Cancel 7–14 days out: deposit forfeited, balance refunded. Variations exist (some use 28 days and 7 days as the tier boundaries), but this structure is fair and mirrors what you'd expect from any professional venue hire.

Also fair: rescheduling within a fixed window

Some studios don't offer a cash refund on cancellation but will let you reschedule within a fixed period — typically three to six months — with no penalty. This works well if the cancellation is circumstantial rather than permanent. It's worth asking about explicitly if a studio's default cancellation policy looks harsh: "Do you offer a reschedule credit instead?" is a reasonable question and most studio owners will accommodate it if they can.

Aggressive but legal: no refund on deposit regardless of notice

Some studios hold the deposit in all cancellation scenarios — even six weeks' notice. This is not industry standard, and it's worth pushing back on if you encounter it, particularly for large deposits. A studio holding a 50% deposit eight weeks after the booking and refusing to refund even with six weeks' notice has, in effect, made the booking non-cancellable from day one.

This isn't illegal — it's a private contract — but it is worth factoring into your risk calculation before you sign. If the shoot is subject to weather, client availability or other variables outside your control, a non-refundable deposit of this size is real financial exposure.

Sharp practice: hidden terms

The most frustrating version is when cancellation terms are buried in a terms-and-conditions document linked from the booking confirmation rather than stated clearly during the booking process. I've seen studios whose booking platforms show the headline rate and take the deposit before the terms are clearly presented. If you can't find the cancellation policy before you pay — ask. A studio that won't tell you their cancellation terms before taking your money is one to approach with caution.

Force majeure and weather clauses

Most studio hire agreements in the UK don't have specific force majeure or "weather event" clauses — unlike outdoor venues that have to account for these regularly. But the COVID period prompted many studios to add some version of a rescheduling clause for circumstances outside the client's control. Some still have these.

Worth checking: if you're booking a daylight studio for a brief that's weather-dependent, or if you have a client with a known propensity to reschedule at short notice, specifically ask whether the studio has a "goodwill reschedule" option. Not every studio will have one. But the ones that do have usually had a reason to build it in, which often means they're sensible operators.

The client-side liability question

Here's something photographers sometimes miss: if you're hiring a studio for a client's shoot and the client cancels on you, the studio's cancellation policy is between you and the studio — not between the client and the studio. You're the contracted party. If the client pulls out the day before and you've signed a no-refund cancellation policy, you're holding the liability.

The practical fix: pass the studio's cancellation terms through to your client contract. If the studio holds a 50% deposit on cancellations within 7 days, your client contract should reflect an equivalent (or higher) cancellation fee from the client to you. Otherwise you're absorbing the studio's risk on the client's behalf, which is not a sustainable position.

Some photographers add a blanket cancellation fee clause to their standard contracts — typically 25–50% for cancellations within 14 days, 100% within 48 hours — which mirrors and slightly exceeds studio industry norms. That's reasonable and protects both your time and your committed costs.

Damage deposits: separate from the booking deposit

Some studios — particularly ones with cycloramas, expensive paper backgrounds or kit-heavy hire spaces — charge a damage deposit on top of the booking deposit. This is held separately and returned after the shoot, provided nothing has been damaged. Damage deposits of £50–£200 are common; some larger spaces ask for more on commercial bookings.

This is standard and reasonable. What's less standard: a studio that charges a damage deposit and then defines "damage" so broadly that normal wear counts. Scuffed seamless paper is normal — studios that charge photographers for replacing a roll of seamless after a standard portrait session are trying to pass their consumable costs to clients. Actual damage (a cracked cyc, a broken stand, a flooded floor) is different and fair to charge for.

Getting the terms in writing before you pay

This is the simplest and most effective protection available to you. Before making any deposit payment, ask for the booking terms in writing if they're not already clearly stated. Read the cancellation policy section specifically. If anything is unclear, ask for clarification in writing — by email, not in a phone call you can't document.

A studio with fair, transparent terms will have no issue with this. One that becomes defensive when asked to confirm cancellation policy in writing is telling you something important about how a dispute will be handled later.

Platform bookings vs direct bookings

Peerspace and Giggster both have their own cancellation policies that can modify (or override) the individual studio's terms. Peerspace's platform-level policies offer some guest protection — a cancellation window within 24 hours of booking, for example — that you may not get on a direct booking. Worth reading the platform's policy as well as the studio host's listing terms before confirming.

Direct bookings with studios don't have that platform layer, which means the studio's own terms apply entirely. That's usually fine — most studios operate fairly — but it does mean there's no intermediary to escalate to if a dispute arises. Knowing the cancellation terms precisely before you pay is more important on a direct booking.
