I got turned away at a Dalston studio once because I had no PLI certificate. Gear was in the van. Client was already on the train. The studio's booking terms mentioned public liability insurance once, in paragraph four, in eight-point type. I had missed it.

That was an expensive morning. And it was entirely my fault.

Since then I've made a point of understanding exactly what cover studios want, why they want it, and how to make sure the certificate is ready before anyone even touches a light stand. Here's what I've learned — with actual numbers, not vague reassurances.

Why studios ask for public liability insurance

Studios hire out a space with kit in it, and strangers come in and move things around. If you drop a C-stand on someone, or pull a scrim rail off the wall, or a client's assistant trips over your tether cable and breaks a wrist — the studio wants to know that isn't landing on them.

Public liability insurance covers exactly that. Third-party injury or property damage caused by you (or your crew) during the shoot. It's not about your camera. It's about what you might do to the studio, or to the people in it.

This is why almost every commercial studio in London — and most of the serious ones outside it — now makes PLI a condition of booking. Not a suggestion. A hard gate.

How much cover do studios actually want?

Most UK studios ask for a minimum of £2 million public liability cover. Some are happy with £1 million for smaller bookings. A handful of larger hire facilities — particularly ones with expensive cycloramas or broadcast-grade equipment — will ask for £5 million on commercial productions.

I've never been asked for more than £5 million, but I do work with commercial clients now who occasionally need £10 million cover because their end client (usually a retailer or a TV broadcaster) specifies it contractually. That's the exception, not the rule.

For a standard photography or video hire — portrait sessions, brand shoots, e-comm, social content — £2 million gets you through most doors. Get that as a minimum. It costs almost nothing extra to get £5 million and removes a conversation entirely.

Annual policy vs per-shoot cover

Two ways to do this. Annual policy, which covers you for everything you do in a year. Or per-event/per-shoot cover, which you buy specifically for individual bookings.

If you're shooting in hired studios more than four or five times a year, the annual policy is the obvious answer. The maths is simple: policies start around £60 a year for basic cover with £1 million PLI, and something solid with £5 million PLI runs £150 to £350 a year depending on what else you bundle. Simply Business, AXA, Protectivity and Hiscox are the names I see most often in UK photography circles — all of them will quote online in under five minutes.

Per-shoot cover makes sense if you're early in your career and only stepping into a hired space a handful of times. Expect to pay £15 to £40 for a single-day policy at £2 million cover. The per-day rate is meaningfully higher than the daily equivalent on an annual policy, so don't let that option drift longer than it should.

What the certificate looks like — and what to send the studio

When a studio asks for proof of PLI, they want to see your insurance certificate. This is a document from your insurer that shows:

Your name (or business name)
The level of cover
The policy period (start and end dates)
The insurer's details

Most online insurers let you download this as a PDF within minutes of buying a policy. Some studios will accept a screenshot of the certificate; more professional ones want the actual document by email. Send it when you make the booking, not on the morning of the shoot.

A few studios — particularly ones regularly hosting broadcast or commercial productions — ask to be added as an "additional insured" or "interested party" on your policy. Most insurers will add this for free or for a small admin charge. Worth checking with your insurer before you sign the studio's booking form if it comes up.

PLI is not the same as equipment insurance

I want to be clear on this because it trips people up. Public liability covers damage you cause to other people and their property. It does not cover your own kit.

If your Profoto B10 falls off a stand and smashes on the studio floor — your PLI doesn't pay for a new one. You need equipment insurance for that. The two things are usually bundled in a photographer's policy, but they're legally separate covers.

Studios sometimes offer their own in-house kit (lighting, stands, backdrops) and they do have their own insurance on it. But that's their policy covering their property. If you damage their kit through negligence — backing into a light, misjudging a crane swing, having a model sit on the wrong piece of hired furniture — you'll likely find yourself in a discussion about liability. Having PLI means your insurer handles that, not your personal bank account.

The grey area: crew and assistants

Here's the thing most photographers don't think about until they're standing in a studio with four people and a big grip job. If you have paid assistants or crew on set — even if they're friends you're paying a day rate in cash — you may technically be classed as an employer for that day. Employer's liability insurance is a separate product and a legal requirement in the UK if you employ anyone.

Most standard photographer PLI policies cover you as a sole trader working alone, or with a helper you're directing but not paying. The moment money changes hands and someone is performing work under your direction, the picture changes.

I'm not an insurance broker. What I'm telling you is to read your policy wording carefully and have the conversation with your insurer before you show up on a commercial shoot with a crew of five. Some policies extend to cover a small number of day workers. Most don't automatically.

What happens when the studio itself doesn't ask

Some studios — especially smaller hire spaces, lifestyle flats, and some of the Peerspace listings I've used — don't ask for a PLI certificate at all. Smaller studio owners often skip this requirement either because they don't know better or because they're not running a formal commercial operation.

But the absence of a request doesn't remove the risk. If something goes wrong and you've caused damage, you're liable regardless of what the booking form said. And if the studio later tries to make a claim and discovers they didn't require your PLI in the contract, that's a problem for them to navigate — not something that protects you.

My approach: I carry PLI whether it's asked for or not. It's cheap. It's basic. And the one time it matters, you won't be worrying about whether you remembered to buy it.

Studios in London that are firm about it

This isn't a comprehensive list — but the studios where I've been asked without exception: most of the large cyclorama spaces in Park Royal and Park Royal-adjacent industrial estates, the bigger Hackney Wick hire facilities, and anything running a proper booking system rather than a PayPal link. Studios catering to commercial clients are more likely to be rigorous about this than portrait or content studios, where the client pool is more mixed.

If you're booking anything in Shoreditch, Hackney or Dalston with a proper production infrastructure — loading bay, 3-phase power, in-house kit — have your certificate ready. Don't assume the smaller studios are more relaxed. Some of the most rigorous checkers I've encountered have been tiny owner-run spaces that got burned once and added PLI to their booking form the same afternoon.

Renewing and keeping track

Annual policies renew — obviously — but they don't always auto-renew at the same level of cover. I missed a renewal once and spent six weeks shooting on an expired policy without realising. My insurer didn't send a chaser, which was their failure, but mine for not tracking it.

I now keep the renewal date in my calendar with a three-week reminder. I also keep a copy of the current certificate in a folder I can access from my phone, which means I can share it from the car park if a studio asks for it and I've forgotten to send it in advance.

Small habits. Big difference when you're standing outside a studio at 7:45am with a client arriving in fifteen minutes.

Get at least £2 million PLI cover — £5 million if you're doing commercial or broadcast work
Annual policy is almost always better value than per-shoot if you use studios regularly
Send the certificate when you book, not on the day
PLI does not cover your own equipment — that's a separate product
