I spent three years clicking agree on studio hire T&Cs without reading them. The field appeared, I ticked the box, I got on with booking the space. This approach worked fine until the day I got an invoice with a 240 minor damage surcharge for a scuff on a seamless paper roll that I'm almost certain was there when I arrived.

Couldn't prove it. Hadn't documented it. Had agreed, in the terms I'd clicked through without reading, that I was responsible for the studio being returned in the exact condition it was in at the time of my access. Terms I'd agreed to and never actually seen.

Since then I read every studio hire contract I sign. Not obsessively -- it's usually a 10-minute exercise. But with enough attention to know what I've actually agreed to. Here's what I've learned.

Access time vs booking time: the most common friction point

Your booking is for 9am to 5pm. But you need to set up your lighting rig, unload the van, check the tether connection, and run a test frame before the client arrives at 9am. The clock starts at 9am. You arrived at 8:30am. Are those 30 minutes free setup time or an additional 75?

Some contracts distinguish clearly between access time (when you can enter the building) and booking time (when your hired session starts). Others don't mention it at all, which can be interpreted either way by a studio owner who's had a difficult morning.

The language to look for: does the contract specify when access begins? Is there a stated setup period included in the hire? If not, ask before you book. A standard response from reputable studios is that 15-30 minutes of setup time is included or that early access is available from around 25-50 per hour. Either answer is fine; the problem is when it's undefined and then disputed on the day.

Overtime: when does it kick in and at what rate

This one I've seen specified precisely in some contracts and left dangerously vague in others. A contract that says overtime charged at hourly rate doesn't tell you what the hourly rate is -- and studios often charge a premium overtime rate rather than the standard hire rate. I've seen overtime charged at 1.5x the standard hourly, which on a 120 per hour studio means 180 for every hour you run over.

The grace period is the second variable. Some studios give you 15 minutes of grace before overtime kicks in. Others bill from the first minute past your end time. On a day where you're wrapping a client shoot and the client wants to see one more option at 5:02pm, that 15-minute grace period is the difference between a smooth end to the day and an awkward conversation at 5:15.

What you want in writing: the overtime rate (absolute amount or multiplier of the standard rate), the grace period (or explicit confirmation there isn't one), and the billing increment (per hour, per 30 minutes, or per minute). All three are often unspecified in contracts that were written quickly and haven't been updated.

Damage liability: surfaces and equipment

The broadest and most contested clause in most studio hire contracts covers damage. Most say something like: the hirer is responsible for returning the studio in its original condition and will meet the cost of any damage caused during the hire period.

That's reasonable on the face of it. But damage can mean a lot of things. Is a scuff on seamless paper damage? Is a dent in a C-stand damage? Is a stain on the cyclorama from a coloured gel that shed dye during a water shot damage, or is it a natural consequence of the kind of use the space is sold for?

The practical protection against disputed damage charges: document the studio condition on arrival, before you've brought any kit in. A three-minute walk-through with your phone's video camera, covering the floor, the cyc, the walls, the backdrop paper, and any in-house equipment you'll be using. Save it with the date stamp. Send a brief email to the studio at the time: just to note, I've done a condition walkthrough on arrival, video attached. That's your baseline.

This isn't distrust. It's the same thing a sensible car hire customer does before driving off the forecourt.

Insurance requirements: what they ask for and what you actually need

Most UK photography studio contracts require hirers to carry public liability insurance. The specified minimum varies: 1m, 2m, and 5m are all common figures, and some studios require a minimum of 1m specifically for the hire period.

The important detail is whether they require evidence. Some studios ask for a certificate of insurance before confirming your booking. Others check nothing and assume. If you turn up without PLI and the studio's contract required it, you're either in breach of contract or relying on the studio owner's goodwill not to enforce it.

Photographers who work regularly in studios typically carry a rolling professional indemnity and public liability policy through providers like PhotoGuard, Hiscox, or through industry body membership. These run from roughly 120-200 per year for a sole trader at 1-2m cover and are worth having on general principle, not just for studio hire.

The contract will usually specify whether the insurance needs to name the studio as an additional insured. That's a specific request and most standard policies don't automatically include it -- you may need to ask your insurer to add the studio for the booking period, which typically costs nothing but requires a phone call.

Cancellation: notice periods and what you lose

Separate from the deposit question, the cancellation clause tells you what you forfeit and when. A common structure in UK studio hire contracts: 100% of the booking fee if cancelled within 48 hours of the start time, 50% if cancelled within 5 days, 25% or deposit only if cancelled with more notice.

The problem clauses are the ones that treat rescheduling as cancellation. If your booking is for 15 October and you need to move it to 22 October, some contracts process that as a cancellation of the 15 October booking (potentially triggering a penalty) and a new booking at the standard rate. Others handle it as a reschedule with no penalty if notice is adequate.

Look for language that explicitly addresses rescheduling separately from cancellation. If it's not there, ask the studio to confirm their reschedule policy in writing before you finalise the booking.

Force majeure and circumstances outside your control

Most contracts include a force majeure clause that exempts both parties from liability if the booking can't proceed due to events outside reasonable control. This typically covers things like extreme weather, civil emergency, or government restrictions.

What it sometimes doesn't cover: illness of a key subject or crew member. If your shoot depends on a specific person who can't attend and the studio treats that as your cancellation rather than a force majeure event, you could lose your deposit.

This has become less of an issue as the industry has normalised more flexible cancellation policies post-pandemic. But the contract terms haven't always caught up with the informal policies studios now apply in practice. The sensible approach: if your booking is high-value or depends on specific people being present, ask the studio directly how they handle illness-related cancellations and get that confirmed by email.

Usage restrictions

Some studio contracts include restrictions on what you can and can't shoot. Most are obvious: no nudity, no illegal activity, no activities that contravene the studio's insurance policy. But some include restrictions that aren't obvious -- no use of open flames without specific permission, no water or liquid on the cyc floor without a waterproof membrane (which is usually available but chargeable), no fog machines or haze without prior notice.

A few contracts include restrictions on commercial use of the studio's image in photography -- you can't use images that identify the studio in advertising or commercial content without permission. That's rare and usually easy to negotiate, but worth knowing about before you've designed a campaign around the specific look of the space.

The sub-letting question

You've booked a studio for Monday but you only need it for half the day and a colleague wants to use the second half. Most studio hire contracts prohibit sub-letting without explicit permission. If you're planning to share a booking with another photographer or production company, get it in writing before the booking rather than assuming it's fine.

What's worth pushing back on

Most studio contracts are fair. The friction points worth addressing before you sign: undefined overtime rates (ask for the specific amount), damage liability for normal wear items like seamless paper (ask whether paper damage is chargeable or included), and insurance additional insured requirements if they're specified (confirm what's actually required of your policy).

The one clause I always read twice: anything about access times. It's the most common area of practical dispute and the easiest to clarify in advance.
