The clock is more serious in studios than on location

On a location shoot, running thirty minutes over is often a conversation. You apologise, you wrap fast, and sometimes nothing happens. In a hired photography studio, those thirty minutes cost money — often at a rate you didn't check before you signed the booking confirmation. I've been caught by this. Most photographers who hire studios regularly have been caught by this at least once.

The reason it stings more than it should is that studio overtime rates are rarely advertised upfront in the way the headline hire rate is. The booking page shows £95/hour. The overtime rate is buried in the terms, or told to you verbally when you're negotiating, or only comes up when you get the invoice. And it's almost always higher than the standard hourly rate.

Here's how it actually works.

How London studios structure overtime

There's no industry standard for studio overtime in the UK. It varies by studio and often by how the studio is managed. But there are three common models:

Hourly rate plus a percentage premium. This is the most common arrangement in professionally managed London studios. You're charged your agreed hourly rate plus a surcharge — typically between 25% and 50% above the standard rate. So if you're paying £100/hour, overtime might be billed at £125–£150/hour, in thirty-minute increments. The idea is that overtime inconveniences the studio (and often the next client), so the premium is partly punitive and partly a reflection of real costs.

Fixed overtime fee. Some studios, particularly smaller owner-operated spaces, charge a flat fee per hour of overtime regardless of what you're paying for the main booking. I've seen this range from £50/hour (very cheap, basically the standard rate) to £200/hour (a strong deterrent). Fixed fees are more common when the studio has another booking immediately after yours and needs you to leave.

No formal overtime, but a conversation. Self-access studios and smaller independent spaces sometimes have no formal overtime policy. If the studio is empty after your slot, you might be able to stay for an extra hour at the same rate, or sometimes for free if the owner is relaxed and the studio isn't needed. This only works if you ask and confirm before the end of your booking — not after you've already run over.

When overtime gets expensive fast

The situations where overtime charges become significant:

Back-to-back bookings. If the studio has another client immediately after your slot, there's no negotiation on overtime. You're out at the contracted time, or you're paying heavily and causing problems for the next client. Studios with high-volume booking patterns in Shoreditch, Hackney, and central London are particularly unforgiving here — they're running four or five bookings a day through one space and they need precise changeovers.

Staffed studios with a team waiting to wrap. If the studio has a manager and assistants who need to reset the space for the next booking — replacing seamless paper, packing down kit, cleaning the cyc — you're paying for their time as long as you're still there. Some studios build this wrap time into the booking slot (a thirty-minute reset window after your booked end time), and some don't. Confirm this when you book.

Peak days and peak hours. Monday through Thursday, 9am–6pm, overtime in central London studios is more tightly enforced and more expensively priced. Weekends and evenings are sometimes softer — the studio might be less likely to have an immediate follow-on booking and more willing to let you run over at the standard rate.

What to ask when you book

Before you confirm a booking — particularly a full-day or half-day booking with a fixed end time — ask specifically:

What's the overtime rate? Get a number. Not "we'll sort it on the day" — an actual rate per hour or per thirty minutes. If they won't give you a specific number, that's a flag.

Is there a next booking after mine? This tells you how firm the end time is. A studio that says "your slot ends at 6pm and we have another client from 6.30pm" is giving you hard information. A studio that says "you're the last booking of the day" means overtime is a negotiable conversation rather than a hard cap.

Is wrap time included in my slot or charged extra? Loading out a full kit setup — especially if you have your own lights, stands, cases — takes time. Forty minutes at the end of a shoot isn't unusual for a two-person crew packing down properly. If that forty minutes is inside your booked slot, fine. If it's overtime, add it to your cost plan.

What's the minimum overtime unit? Some studios charge in thirty-minute blocks, some in hour blocks, some in fifteen-minute blocks (rare). If you run over by ten minutes and the minimum is thirty, you're paying for thirty.

Protecting yourself on the shoot day

The obvious advice is to book more time than you think you need. That's true. But it doesn't always work — sometimes you're given a budget and a brief and the numbers only just add up if you're in by 9am and out by 5pm. In that situation, you manage the clock, not the budget.

Build a realistic wrap schedule into your shoot plan. Not the photography — the photography is planned. The wrap: when does the last shot happen, how long does kit pack-down take, when does the camera car leave? Work backwards from your booked end time and make sure every element of the schedule fits.

Communicate the end time to everyone on set. Talent, assistants, the client. «We're out of the studio at 5pm» — say it clearly at the start of the day. Late brief changes and "one more look" requests from clients are the most common cause of overtime charges. A client who understands that the studio clock runs until 5pm and that anything after that comes out of someone's budget tends to make cleaner decisions about how much testing and adjusting they want to do at 4.45pm.

If you see yourself running late mid-day, call or message the studio — not at 4.45pm, but at 2pm when you can still do something about it. Ask whether there's flexibility on the end time and what the cost is. A studio that has no follow-on booking and a relaxed manager might give you an extra hour at the standard rate. If you wait until 4.50pm to raise it, the options narrow.

Overtime charges on platform bookings

Peerspace and Giggster both have their own overtime mechanisms. On Peerspace, overtime is often billed at the end of the booking as an additional charge, either at the hourly rate or at a host-specified overtime rate — which can be set higher than the standard rate. Giggster works similarly, with overtime tracked through the platform and added to the final invoice.

One thing that differs with platform bookings: the platform processing fees apply to overtime charges too. So if you run over on a Peerspace booking, you're not just paying the host's overtime rate — you're also paying Peerspace's guest processing fee on that additional amount. That's not always obvious when you're calculating the cost of running over.

Direct bookings with studios — outside Peerspace and Giggster — often have cleaner overtime mechanics. The studio invoices you at the end of the session, you pay the agreed rate for the extra time, and there's no platform fee layer. That's one of the practical advantages of going direct for bookings where schedule risk is high.

The studio side of this

Studios set overtime rates the way they do for real reasons. A studio in Shoreditch or Hackney with four bookings a day and a staff team to pay can't absorb late running from one client without affecting everyone else. The overtime premium is partly compensation for the disruption and partly an incentive to manage time properly.

That said, some studios are more reasonable than others, and it's worth knowing which is which before you book a tight production. Studios that have been around for more than three or four years, that have a named manager and a proper booking process, tend to have clearly stated overtime terms that they apply consistently. Newer studios or owner-operated spaces vary more — sometimes very generous, sometimes surprisingly firm.

Asking about overtime before you book isn't just due diligence. It's also a signal to the studio that you're a professional who manages their time and understands how the relationship works. Studios notice the clients who ask the right questions upfront.

When overtime is unavoidable

Sometimes the shoot runs long for reasons beyond your control: talent is late, a light fails and needs to be replaced, a client brief changes at 3pm. In those situations, overtime is the cost of recovering the job rather than the cost of poor planning. Pay it, document why it happened, and add it to the production reconciliation.

If the overtime was caused by a studio issue — equipment failure, incorrect setup on arrival, something they promised that wasn't there — push back on the overtime charge. A studio that failed to provide what you contracted for has a weak basis for charging you for the additional time it took to work around the problem. That conversation is easier to have if you have the original booking confirmation and any relevant communications in writing.
